Cancellation & Refund Policy

This policy explains what happens to a booking's payment when it is cancelled, declined, expires, or goes unresolved. It works alongside our Terms of Service.

Payment collection is not yet active on SetWheels. Bookings today show an estimated platform fee but no charge is collected. The tiers below describe the policy that will take effect automatically once real payment collection launches — no booking made before then is subject to a charge or refund.

1. Booker cancellation

If you cancel a confirmed booking as the Booker, the platform fee is refunded on this schedule, measured against the booking's start date/time:

2. Owner decline

If the Owner declines a booking request, the Booker receives a full refund of any amount charged, and no platform fee is charged for the declined request.

3. Auto-expiration (Owner doesn't respond)

An Owner has a limited window to accept or decline a booking request (48 hours by default). If the Owner does not respond in time, the request automatically expires and the Booker receives a full refund — no fee is charged.

4. No-shows and incomplete bookings

If the Owner does not show up for a confirmed booking, or the Booker does not confirm completion within the post-booking confirmation window (48 hours by default), either party can report the issue through our in-app dispute process — see Terms of Service, Section 6. Funds are held pending resolution rather than automatically released or refunded.

5. Disputes

Filing a dispute pauses payout of the platform fee (and, once real payment collection is live, the vehicle-use payment held for the booking) until SetWheels reviews the booking and reaches a resolution. We aim to resolve disputes promptly but do not guarantee a specific timeline.
